Yesterday after a month of my absence I went back to clinic to attend to some patients and perform some surgeries.
After talking to my staffs and updated myself about the whereabouts of the clinic and the personnel. My assistants told me that upon checking the inventory they realized that one Dental Implant and One Collagen Membrane was missing. I have had created both Analogue and Digital Inventory List. Before, the presence of discrepancies in both lists, would have made me check and find where the anomaly was created specially with other safety measurements presence there. But this time the problem was both lists were synced however in the inventory those two items were missing.
Fortunately because I have had learned a system from one of the clinics I used to work for, I have created a system that could trace the items incoming and outgoing from the inventory.
It is important to note that due to expensive materials and devices that dentistry has, having a good system regarding inventory management is a must specially in a private practice. Also to keep in mind that, a success in that couldn’t be achieved without having trusting personnel too.
Therefore make sure to create a good system that you know can work best for you and your practice in regards to your inventory.
And next to that, make sure to surround yourself with people whom you can trust. My staffs could hide this missing items and it could have taken longer for me to find it out but since we tried to create an environment based on trust and teamwork, I am also glad they informed me early. This helped me to both know my staffs personality even more and be able to help them to follow certain protocols to find the missing items easier.
Also one more thing to keep in mind is that, at times unintentional mistakes may occur during daily practice by our assistants or/and personnel, maybe the best option left is just forgiveness. Knowing sometimes damages done by our staffs is unintentional, helps us to see the situation more clearly and be able to make a better judgment and decisions facing it.
Remember the purpose is to create a safe and good environment for both our staffs and patients, so they will have the best treatment option for our patients.
And definitely the best way to manage a successful business, including a dental clinic, is to come up with a smart, sufficient an fast business system to be able to lessen the extra expenses and energies. In a long run.
